Sarah’s Spotless Solutions – Terms & Conditions

These Terms and Conditions (“Terms”) govern all cleaning services (“Services”) provided by Sarah’s Spotless Solutions (“Company”, “we”, “our”, or “us”) to residential and commercial clients (“Client”, “you”, “your”). By booking or receiving services, you agree to these Terms.


1. Scope of Services

Sarah’s Spotless Solutions provides professional cleaning services, which may include, but are not limited to:


  • Standard recurring residential cleaning
  • Deep cleaning
  • Move-in/move-out cleaning
  • Post-construction cleaning
  • Office and commercial cleaning
  • Specialized services (e.g., carpet cleaning, window cleaning, floor care, upholstery cleaning)
     

All service details—scope, pricing, frequency, and special instructions—will be outlined in a written service agreement, quote, or invoice.


2. Service Appointments

Clients must ensure safe, timely access to the property during scheduled appointments.


  • Residential Services: Weekly, bi-weekly, monthly, or one-time.
  • Commercial Services: Frequency and tasks defined in a separate contract.
     

Lockout Fee: If our team arrives and cannot access the property due to client oversight (incorrect code, locked entry, etc.), a $75 lockout fee will be charged.


3. Pricing and Payment


  • Payment is due within 24 hours of service completion, unless otherwise agreed in writing.
  • Accepted payment methods include credit card, bank transfer, cash, or check.
  • Overdue balances may incur a late payment fee of $25 per day.
  • Pricing is based on the information provided at the time of booking.
  • Any additional tasks requested during the cleaning appointment that were not included in the original scope will be considered add-on services and billed separately at applicable rates.
  • Prices may be adjusted for excessive buildup, unsafe conditions, or misrepresentation of the property’s condition.


Commercial clients may be invoiced monthly or by agreement.
 

4. Cancellation & Rescheduling Policy

To respect our team’s time and scheduling:


Residential Clients

  • Cancellations made within 24 hours of the scheduled appointment are subject to a 50% cancellation fee based on the scheduled invoice amount.

Commercial Clients

  • Must cancel or reschedule at least 72 hours in advance, unless otherwise stated in the service contract.


Same-day cancellations or repeated last-minute changes may be billed at the full service rate.


5. Access & Security


  • Clients must provide accurate keys, codes, or access instructions.
  • Lockout Fee: If our team arrives and is unable to access the property due to client oversight (locked doors, incorrect codes, pets not secured, etc.), a $75 lockout fee will be charged.
  • Repeated last-minute cancellations or lockouts may require prepayment for future services.
  • All entry information is stored securely and used only for service access.
  • We are not responsible for issues caused by faulty locks, alarm failures, or incomplete access instructions.
  • Additional trips required to retrieve/return keys may incur a fee.
     

6. Supplies & Equipment

We supply all standard cleaning products and equipment.


  • Clients requesting specific products due to allergies, sensitivities, or environmental preferences must notify us in advance.
  • If using client-provided products, we are not responsible for product performance or damages resulting from their use.
  • Pet Fees: Homes with pets may be subject to an additional fee, especially in cases of excessive pet hair, odors, accidents, or safety concerns.
  • Smoke/Nicotine Residue: Cleaning services involving smoke, nicotine, or heavy odor removal (including vaping residue) require specialized products and extended labor and will be charged at a higher rate.
  • Clients must notify us in advance of any known conditions that may require specialized cleaning.


7. Biohazards, Mold & Hazardous Conditions

For the safety of our team:


  • We reserve the right to refuse or discontinue service if biohazardous or unsafe conditions are discovered during a cleaning, including but not limited to:
    • Mold or mildew growth
    • Mouse or rodent droppings
    • Animal waste
    • Blood, bodily fluids, or other biohazards
  • Biohazard or mold-related cleaning will incur additional fees, which will be assessed based on severity, required protective equipment, and labor.
  • Clients will be notified immediately if such conditions are discovered. Services may not continue until approval of the additional charges is received.


8. Emergency & Same-Day Services


  • Same-day, emergency, or urgent bookings are subject to availability and require special scheduling accommodations.
  • All same-day or emergency cleanings are billed at double our standard service rates.
  • Emergency services must be paid in full prior to or immediately upon completion of service.


9. Satisfaction Guarantee

If you are not satisfied with any part of your cleaning:


  • Notify us within 24 hours of service.
  • We will return to re-clean the affected area(s) at no additional charge.
     

This guarantee does not apply to conditions that arise after we have left the property.


10. Damages & Liability

Our team uses reasonable care and we are fully insured. However, we are not liable for:


  • Pre-existing damages
  • Wear and tear
  • Delicate, fragile, or improperly secured items
  • Damages resulting from unstable surfaces or faulty fixtures
  • Items not disclosed as fragile or high-value
  • Stains or buildup that cannot be removed with standard cleaning methods
     

Any accidental damage must be reported within 24 hours of service.


11. Health, Safety, & Work Environment


  • Staff follows professional cleaning, hygiene, and safety standards.
  • We may refuse service if a property has unsafe, hazardous, or unsanitary conditions (e.g., infestations, biohazards, hoarding).
  • Staff cannot move heavy furniture (over 30–40 lbs), climb nonstandard ladders, or handle hazardous chemicals.


12. Client Obligations

Clients agree to:


  • Provide safe, unobstructed access to the property
  • Secure pets during service
  • Remove clutter, valuables, or personal belongings from cleaning areas
  • Provide accurate instructions for fragile items or special surfaces
  • Ensure power and running water are available during the service
  • Accurately disclose property conditions prior to service
  • Approve additional services or fees before work continues
  • Failure to disclose conditions such as mold, biohazards, smoke residue, or aggressive pets may result in additional charges or service refusal.
     

If a property is not adequately prepared, cleaning may be limited or additional fees may apply.


13. Termination of Services

Either party may terminate recurring services with 30 days’ written notice.
Early termination fees may apply for commercial or long-term contracts as specified in the agreement.


14. Force Majeure

We are not responsible for delays or service interruptions caused by events outside our control, including severe weather (common in Maine), illness outbreaks, natural disasters, or government restrictions.


15. Privacy & Confidentiality

Client information, access details, and personal data are kept confidential and used solely for providing services.
 We comply with Maine consumer protection practices and do not share client information with third parties.


16. Changes to Terms

We reserve the right to modify these Terms at any time. Updated Terms will be posted on our website and/or delivered to existing clients electronically.


17. Governing Law

These Terms are governed by the laws of the State of Maine.


18. Maine-Specific Additions

To align with Maine standards and business best practices:


  • We maintain active general liability insurance and workers’ compensation coverage as required under Maine law.
     
  • Subcontractors (if used) are insured, vetted, and bound to these Terms.
     
  • Cleaning chemicals comply with Maine DEP environmental safety guidelines.
     
  • Weather delays due to Maine winter conditions may require rescheduling.
     

By booking a service with Sarah’s Spotless Solutions, you acknowledge that you have read and agree to these Terms & Conditions.
